Washington-Caldwell School PTO Meeting Notes

October 10, 2022 at 6 p.m.

bank accounts:

$714.09 savings

$ checking needs to be reimbursed due to our account getting hacked. It is taking a long time to get the situation resolved. Taffy has been using the money from savings. All teachers have been reimbursed. The new student t-shirts have been purchased.

 

To go to a new bank, we need to get an EIN. Joane will work on it with the IRS on Friday.

 

Fall fundraiser:

Boon Supply update & thermometer – This was their best fundraiser in a long time. We get $4,160 – raised in three weeks! The fundraiser will be open through the end of December but we will get the payout and prizes for kids as soon as we close. There were some direct donations but they got 20% commission. We still accept direct donations and we got some checks as well.

 

Joane will add something to the Parent Newsletter (10/21) next week to let people know what was earned. We will announce the prizes then as well.

 

Our thermometer was updated to increase the top goal due to this being such a successful fundraiser.

 

We need to schedule prizes for kids: Extra recess and ice cream treat day all in one – first week in Nov. Teachers can decide when they want the treat and when they want the recess. Joane will have it there by Monday of that week.

 

Fall Fest:

10/26 5:30-7

Middle school will have games. We will reimburse for pizza and soda for the kids.

Simple concessions by us.

We will do a photo backdrop for Halloween.

We can also play Halloween music.

Get a balloon arch from Amazon, we can use the pump to blow them up.

Taffy put together some raffle items – 3 mixed Halloween buckets, 5 Uncle Harry’s gift cards, and 3 pumpkins.

Craft will be wooden ornaments and coffee filter ghosts with suckers. We have sharpies to use, Lisa got some markers for the ornaments. We will also do a half sheet flyer for candy donations.

We need to do a signup genius for volunteers.

 

Parent conferences meals:

Chinese from Chopsticks in Waterford. Kelli will email order to Taffy Wed morning. Taffy will call it in and pick up around 4:30 on Wednesday.

 

Holiday basket raffle:

At the holiday concert each class makes a basket and people buy raffle tickets to win baskets. Need the letter for teachers beginning of November regarding class themes and donations.  McCormicks did a mystery basket. Nice fundraiser for us. We were going to do the raffle ticket pull a little earlier. There is a prize for the class with the most tickets entered in their box. We need to get a date on it from Bryan Voss. Milk and cookies are not needed.

 

172nd anniversary party recap:

Lots of current and former families, community members, etc. Over 200 people came through for the open house all afternoon. Thanks to Taffy for donating the pumpkins, Lisa for doing the crafts, Toby helped set up, Kelli did a ton of work also! The scavenger hunt was popular. All Star Rental donated the bouncy house (we need to talk to them about the carnival). Spaugh family runs that company.

 

Penguin Patch dates:

Dec 5-9, 2022

We will keep accruing the points from the copany so we can get a bigger ticket item. Last year we sold for four days, so this year we will do three. 1st day half the school, 2nd day the other half, and then whoever still needs to buy on the third day. Set up Monday evening, pack up Thurs pm. NJHS will assist with packing and helping the kids shop.

 

Building use forms:

This is how events get on the calendar. Fall Fest is done and on the calendar. We can put the PTO meeting dates all on the same form, and Kelli will put them on the calendar. We need to note that it is virtual. Kelli please email the form to Lisa. Lisa will fill out the form for meetings and Penguin Patch.

 

Bulldog directory:

need to send from PTO email and format it. Need the gmail account login info. Joane and Val will coordinate on Friday to get this out.

 

Open floor

The gaga ball pit is going to be installed in the spring, the PTO will supply an amount toward this purchase by the eighth grade. They are 1/3 of the way there already! Goal is $3,500.

 

Condolences to Kelli on the passing of Marvin the cat. L

 

Christmas cards: 

Dan H is interested in providing family sessions for pictures. We need some more details to see what he is thinking.
